We are the data controller for the personal information described in this policy. This policy covers our website at https://www.nomad-optimise.com and the services we provide to our clients.

When we contact you as a business prospect

We carry out business-to-business outreach. Where you have not contacted us first, we may hold your name, business email address, job title, company name and publicly available professional information.

Where we get business contact information

Business contact information used for outreach comes from:

• Publicly available sources, including company websites, published press material and professional networking profiles
• Third-party business data providers who confirm to us that they collect data lawfully
• Business cards, events and introductions

We only use business email addresses at corporate domains. We do not knowingly send outreach to personal email addresses.

How we use your information, and our lawful basis

• Respond to your enquiry — To answer your question and discuss working together. Lawful basis: legitimate interests, or steps prior to entering a contract.
• Deliver our services — To carry out the work you have engaged us for. Lawful basis: performance of a contract.
• Send business outreach emails — To introduce our services to businesses that may need them. Lawful basis: legitimate interests.
• Send marketing to existing and prospective clients — To keep you informed about our services. Lawful basis: legitimate interests, or consent where required.
• Run website analytics and visitor measurement — To understand how our site is used and improve it. Lawful basis: consent.
• Show and measure advertising, including to people who have visited our site before — To promote our services and understand what works. Lawful basis: consent.
• Keep accounting and tax records — To meet our legal obligations. Lawful basis: legal obligation.
• Protect our systems and prevent fraud — To keep our business and clients secure. Lawful basis: legitimate interests.

Marketing and outreach

Every marketing or outreach email we send includes a way to opt out. You can also email chandler@nomad-optimise.com at any time and ask us to stop. We will act on the request promptly and add your details to a suppression list so we do not contact you again. That suppression list is the only reason we keep your details after you opt out.

Who we share your information with

We use third-party providers who process personal information on our behalf. They act on our instructions and are bound by contract. We describe them by category rather than by name, because the specific providers change from time to time. The categories are:

• Website hosting and infrastructure providers
• Email, document and file storage providers
• Website analytics and visitor measurement providers
• Advertising, marketing and social media platforms
• Email outreach and delivery providers
• Accounting, invoicing and payment providers, and our accountants
• AI and productivity tools used in the course of preparing client work
• Professional advisers, such as lawyers and insurers, where needed

We keep an up-to-date record of the specific providers we use. If you would like that list, email us and we will send it to you.

We may also disclose information where we are required to by law, or in connection with the sale or reorganisation of our business.

We do not sell your personal information.

International transfers

Some of our providers are based outside the United Kingdom, including in the United States and the European Economic Area. Where information is transferred outside the UK, we rely on adequacy regulations or on the International Data Transfer Agreement or Addendum approved by the UK government, together with appropriate safeguards.

How long we keep information

We keep personal information only for as long as we need it. Where we cannot give a fixed period, we set out the criteria we use to decide.

• Enquiries that do not lead to work: up to 24 months
• Client records: for the duration of the engagement and 6 years afterwards, to meet tax and legal requirements
• Outreach contact data: up to 24 months from last meaningful activity
• Suppression lists: indefinitely, so we can honour your opt-out
• Website analytics and advertising data: for the retention period configured in each platform. This varies between tools and we set it to the shortest option that still gives us useful reporting

How we keep information safe

We use technical and organisational measures appropriate to the risk, including access controls, two-factor authentication on business systems, encrypted connections and limiting access to those who need it. No system can be guaranteed completely secure, but we take these obligations seriously and review them.

Your rights

Under UK data protection law you have the right to:

• Ask for a copy of the personal information we hold about you
• Ask us to correct information that is wrong or incomplete
• Ask us to delete your information
• Ask us to restrict how we use it
• Object to processing carried out on the basis of legitimate interests, including outreach and marketing
• Ask us to transfer your information to another provider, where that right applies
• Withdraw consent at any time, where we rely on consent

Our website uses cookies. Non-essential cookies are only set with your consent, which you give through the cookie banner and can change at any time.
